Responsibilities:

  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments.

  • Book meeting rooms, set up conference calls and take messages and minutes during meetings.

  • Greet visitors and direct them to the appropriate departments or individuals.

  • Answer telephones and respond to inquiries via telephone or email.

  • Perform clerical and administrative tasks.

  • Prepare and distribute correspondence, memos letters and forms.

  • Manage database entry and client files.

  • File and update contact information of employees, customers, suppliers and external partners.

  • Maintain confidential department files and records.

  • Assist with presentations and reports.

  • Organize and distribute messages.

  • Make and confirm travel arrangements.

 

Requirements:

  • Bachelor’s Degree or above.

  • Relevant working experience as Secretary or Administrative Assistant.

  • Self-motivated, well-organized, multi-tasking and time-management skills.

  • Detail-minded, good communication and interpersonal skills.

  • Good command of spoken and written English & Chinese (Cantonese & Mandarin).

  • Proficiency in MS Office.

  • Candidates with less experiences will be considered as Administrator.
