Job Responsibilities:

  • Leads the Practice’s operations, providing support to the team and directors.

  • Lead the administrative team to ensure duties are executed on time.

  • Oversee daily practice operation and ensure smooth operation.

  • Manage scheduling, coordination, logistics of meetings, appointments and office events.

  • People and Culture management. Foster and maintain a positive office culture and work environment.

  • Manage recruitment, selection, and onboarding processes for new staff.

  • Develop and implement HR strategies and initiatives aligned with the overall business strategy.

  • Bridge management and team members relations.

  • Perform proper document filing and control for traceability.

  • Take initiative in implementing and fine-tune processes and procedures to improve efficiency.

  • Execute constructive cost control to achieve effective cost saving for the company.

  • Assist in the preparation of the budget, keep track of expenses, and report on financial performance.

  • Ensure accurate and timely processing of payroll updates, including new hires, terminations, and changes to pay rates.

  • Prepare financial statements and manage office budget to ensure efficient use of resources.

  • Liaison with external vendors to ensure effective operation of the practice.


Job Requirements:

  • Bachelor’s degree required or equivalent professional certificate.

  • At least 5 years of experience in management roles related to office operations and HR.

  • Adaptability to face changing situations and unexpected challenges.

  • Creativity in problem solving operational challenges.

  • Strong organizational skills and ability to prioritize multiple tasks seamlessly.

  • Strong attention to detail.

  • Willingness to embrace technology.

  • Excellent interpersonal skills, positive working attitude.

  • Self-motivated, able to work independently and as a team.

  • Leadership qualities with strong communication skills.

  • Positive Attitude, positive energy and willing to go the extra mile for the benefit of the practice.

  • Possess related professional certificates will be an advantage.

  • Proficient in Microsoft Office.

  • Proficient in English, Cantonese and Mandarin (written and verbal).
