Job Responsibilities:

  • Maintain, catalogue, label, and organize the physical and digital design library.

  • Keep material samples, catalogues, specifications, supplier information, and product literature current and easy to locate.

  • Assist designers in sourcing and locating materials, finishes, furniture, lighting, fittings, decorations, and other design products.

  • Track borrowed samples and ensure items are returned and correctly refiled.

  • Remove or replace outdated, damaged, and discontinued samples and catalogues.

  • Keep the library, sample racks, storage areas, supply cabinets, and worktables organized and presentable.

  • Assist with organizing design boards and returning materials to their correct locations after use.

  • Maintain supplier lists, mailing lists, library records, and sample inventories.

  • Coordinate vendor appointments, presentations, product updates, and sample deliveries or collections.

  • Communicate presentation schedules and relevant product information to the design team.

  • Maintain vendor contact details and file supplier updates.

  • Assist in requesting product information, samples, availability, and pricing when required.


Job Requirements:

  • Diploma or degree in Interior Design, Project Management, Business Administration, Library or Information Management, or a related field is preferred.

  • 1 to 2 years of relevant experience in project administration, design coordination, document control, office administration, or resource-library management is preferred.

  • Strong organizational skills and the ability to implement effective filing systems.

  • Basic knowledge of interior design materials, finishes, furniture, or construction documentation is preferred.

  • Enthusiastic and capable team players are interested in contributing, learning, and growing.

  • Must be able to focus in a very fast-paced environment.

  • Good written and spoken English. Chinese language skills would be an advantage.
